Managing Your Subscription

This article explains how to manage your subscription, including downgrades, cancellations, and our refund policy.

We offer annual subscriptions at three plans to give you access to Prosci change management resources, community, and tools. For more information on each plan, see [Membership Plans]. For information on plan pricing, see [Prosci Membership Plan Pricing].

Purchasing an Individual Membership

Individual Membership plans can be purchased and managed directly through the Prosci Portal.

If You Already Have a Portal Account

Go to portal.prosci.com and log in with your existing credentials.

  • If you have forgotten your account email, contact [email protected].

  • If you have forgotten or need to reset your password, click Forgot password? on the login page.

What you see after logging in depends on your current subscription status:

Active Subscription:

The Hub Solution Suite has transitioned into the Essentials Membership plan. If you have an active subscription to the Hub Solution Suite from a program you took prior to 2026, or you renewed in 2025, we have migrated you to the Essentials plan, and you can now manage your subscription and renewals directly from the Portal:

  1. Click My Account in the upper-right corner.

  2. Select Manage Subscription.

From here, you can view your current plan details, update your payment information, or cancel your subscription. If you do not see the Manage Subscription option, please reach out to [email protected]

Expired Subscription:

If you previously had a subscription to the Hub Solution Suite that has since expired, you will see a banner at the top of the Portal landing page with a Subscribe Now option. Clicking Subscribe Now will take you to the Choose Your Plan page, where you can select a new Membership plan and complete the purchase flow described below.

No Active or Expired Subscription:

If your account does not have any active or expired subscriptions, you will be directed to the Choose Your Plan page automatically. From there, you can select the Membership plan that best fits your needs and proceed with the purchase.

If you have a mix of active and expired Portal resources, you may be directed to reach out to [email protected] to identify what options are relevant for your account.

If You Do Not Have a Portal Account

  1. Go to portal.prosci.com and click Sign Up.

  2. Provide your email address and create a password.

  3. Accept the Terms and Conditions.

  4. Check your email for a verification message from the Prosci Portal and click the link to verify your account.

  5. Once verified, you will be directed to the Choose Your Plan page to select your Membership plan and start your free 7-day trial.

Note: Essentials and Premier memberships require completion of the Prosci Change Management Practitioner Program (Certification or TTT-Led).


Automatic Renewals

For Paid Memberships

After your trial 7 day trial expires, all annual Membership subscriptions automatically renew unless you cancel before your renewal date.

Renewal Notifications:

We'll send you email reminders in advance of your renewal date so you have time to make any changes to your subscription or update your payment information.

What Renews Automatically:

  • Direct sign-ups that converted from 7-day trial

  • 90-day trial conversions that became paid memberships (including early activations)

  • Previous year's paid memberships

Updating Payment Information:

You can update your payment method at any time in My Account > Manage Subscription to ensure uninterrupted service. Additionally, you can access and download receipts for your membership payments, including trial and subscription charges, through the Billing History tab in the same section. This ensures you have a record of your transactions for personal or professional use.

For Trial Memberships

90-Day Trials (Program Participants):

  • Do NOT auto-renew

  • Require manual conversion to paid membership

  • Expire after 90 days if no action is taken

7-Day Trials (Direct Sign-Up):

  • Automatically convert to paid membership after 7 days

  • Your credit card is charged on day 8

  • Cancel before day 7 to avoid being charged


Changing Membership Plans

If you would like to change your current Membership plan, you can do so directly in your Prosci Portal under the Manage Subscription page. Details on upgrading or downgrading your plan are below.

Upgrading Your Subscription

Upgrades take effect immediately. You'll be charged the prorated difference between your current plan and the new plan for the remainder of your annual term. Your renewal date stays the same.

How to Upgrade:

  1. Log into your account at portal.prosci.com

  2. Navigate to My Account > Manage Subscription

  3. Click Change Plan

  4. From the Choose Your Plan page, select the plan you'd like to upgrade to. Please Note: The prices shown on the Choose Your Plan page are the full annual prices, not the prorated amount you'll be charged.

  5. Once you select the plan, you will be automatically charged the prorated difference — there is no additional confirmation step.

  6. You can view the prorated amount under the Billing History tab of the Manage Subscription page. To download receipts for your transactions, navigate to the Billing History tab, locate the relevant transaction, and download the receipt as a PDF.


Downgrading Your Subscription

If you decide to downgrade to a lower plan (for example, from Premier to Essentials), your downgrade will be scheduled to take effect on your next renewal date.

How to Downgrade

  1. Log into your account at portal.prosci.com

  2. Navigate to My Account > Manage Subscription

  3. Click Change Plan

  4. From the Choose Your Plan page, select the plan you'd like to downgrade to

  5. Click Schedule Downgrade

Please Note:

  • Your downgrade will take effect on your next renewal date

  • You will continue to have full access to your current plan features until your annual term expires

  • No refunds or credits are issued for the remaining time on your current plan

  • On your renewal date, your subscription automatically renews at the new lower plan price

  • You receive email confirmation of your scheduled downgrade

Canceling a Scheduled Downgrade

Changed your mind? You can cancel or modify your scheduled downgrade at any time before your renewal date:

  1. Go to My Account > Manage Subscription

  2. Click Cancel Scheduled Change

  3. Confirm your selection

Once your renewal date passes and the downgrade takes effect, the change is final and cannot be reversed without purchasing a new subscription.


Canceling Your Subscription

When you cancel your subscription, it will not automatically renew. You'll retain full access to your current plan until the end of your annual term, and you'll receive a reminder email before your access expires.

How to Cancel

Option 1: Self-Service (Recommended)

  1. Log into your account at portal.prosci.com

  2. Navigate to My Account > Manage Subscription

  3. Click Cancel Plan

  4. Follow the prompts and confirm your cancellation

  5. You'll receive email confirmation immediately If you need a receipt for your cancelled subscription, you can access it through the Billing History tab in the Manage Subscription section.

Option 2: Contact Support

Email [email protected] with "Cancel Plan" in the subject line, and include your account email address. We'll process your request within 1-2 business days. For receipts related to cancelled subscriptions, you can download them from the Billing History tab in your account settings.


Lapsed Subscriptions & Data Retention

What Happens When Your Subscription Expires

If your subscription lapses (either from cancellation or non-renewal):

  • You can still log into your account at portal.prosci.com using your email and password

  • Membership content, tools, and community features will not be accessible

  • Certificates you've earned remain valid

Data Retention

Your account data — including Proxima projects, Kaiya conversation history, saved resources, and community contributions — is retained for two years after your subscription expires.

If you reactivate your membership within that two-year window, your data will be restored and accessible.

After two years: If you have not reactivated your subscription, your data will be permanently deleted in accordance with our data retention policy.


Refunds & Money-Back Guarantee

14-Day Money-Back Guarantee

If your credit card has been charged — whether at your initial conversion to paid membership or at an annual renewal — you have 14 days to request a full refund, no questions asked.

This applies to:

  • First-time conversions from a 90-day program trial (including early activations)

  • First-time conversions from a 7-day direct sign-up trial

  • Annual subscription renewals

How to Request a Refund

  1. Email [email protected] with "Refund Request" in the subject line

  1. Include your account email address and order number (if available)

  1. You'll receive confirmation within 1-2 business days

Refund Timeline:

Refunds are processed within 5-10 business days and issued to your original payment method.

Important: Once your refund is processed, your access to the membership platform will be immediately terminated.

After 14 Days

No refunds or prorated credits are available after the 14-day guarantee period ends.

This applies whether you:

  • Cancel your subscription mid-term

  • Downgrade to a lower plan

  • Stop using the platform

You will retain full access to your current plan until your subscription term expires.

Extenuating Circumstances

While our policy doesn't provide for refunds after 14 days, we understand that exceptional circumstances occur (company closure, job loss, etc.). Please contact [email protected] with details about your situation. While we can't guarantee a refund outside our policy, we'll review each case individually and work with you to find a fair solution.
